A single print file error can mean expensive reprints. Here’s a practical checklist to make files print‑ready every time.

Print mistakes are costly. A proper checklist prevents 90% of issues before the file goes to the press.

Checklist essentials

  • Correct PDF/X standard.
  • Proper bleed and trim marks.
  • CMYK color mode and embedded profile.
  • Images at 300 dpi.
  • Fonts embedded or outlined.

Use preflight as the final technical check

Preflight checks for common technical problems before production: missing bleed, low effective image resolution, unsupported colour spaces, font issues, transparency and unexpected page settings. It is a safety net, not a substitute for knowing the printer’s specification. Configure the check against the actual job rather than relying on a generic warning list.

Review every warning intentionally. A warning is not always an error, but it should have a reason. Inspect images at their final printed size, confirm spot colours and overprint settings where relevant, and keep one clearly named approved PDF so an earlier export cannot accidentally reach the press.

RGB, CMYK and colour profiles

RGB is for screens, where colour is made with light. CMYK is for ink on paper, which has a smaller colour range. A vivid screen colour may therefore print differently even when the numerical colour values look correct. Use the printer’s requested output profile, and request a proof whenever an exact brand colour is important.

Keep a high-quality master asset and export separate versions for web and print. That avoids repeatedly converting a compressed file and makes it clear which version belongs in which channel. For print, also confirm total ink coverage and rich-black settings with the printer instead of applying a one-size-fits-all recipe.
